Reservation Confirmation
Reservation is not considered confirmed until this agreement is acknowledged and received by the Institution and approval is granted. Tentative or pending requests do not guarantee access to this space.
Use Limitations
Academic spaces are to be used only for the purpose and event describes in this agreement.
No Food or Drink
The host agrees that no food or drink will be brought into or consumed within the academic space(s) used for this event. This includes all classrooms, lecture halls, and labs unless otherwise approved in writing.
Room Condition and Equipment
The host agrees to leave the room(s) in the same condition as found. This includes:
• Not rearranging, removing, or leaving behind any furniture or equipment.
• Not disconnecting, removing, or altering any institutional audio/visual or technology equipment.
• Whiteboards must be erased at the end of the event.
• AV equipment must be turned off and left in proper working order.
• All trash must be disposed of and furniture returned to its original layout if moved.
Time Limits & Clean-Up
The event must begin and end within the reserved time-frame. Clean-up and reset time must be included in the scheduled reservation. Extended use beyond this time is not permitted without prior approval.
Point of Contact Responsibility
The hose will designate one individual as the on-site point of contact during the event - typically the individual whom submits the request. This person is responsible for enforcing compliance with this agreement and communicating with campus staff if issues arise.
Emergency Procedures Acknowledgment
To help ensure everyone's safety, we ask that the host be familiar with the building's emergency evacuation routes and procedures, and kindly share this information with attendees as needed. In the event of a fire alarm or other emergency, all participants should exit the building promptly and follow guidance from campus safety personnel.
Institutional Right to Deny Future Use
The Institution reserves the right to deny future use of the space to the hose or affiliated group/organization if the terms of this agreement are violated; including but not limited to damage, policy violations, or unauthorized use.
